Privacy policy
Version 2026-09-14. We record which version you accepted, so a later revision never silently reinterprets what you agreed to.
What we collect
When you create an account, you give us:
- your full name;
- your email address, which is also how you sign in;
- the organisation you work with, as you choose to describe it;
- whether you want occasional email about new tools.
If you are CEGIS staff and sign in with your CEGIS Google account instead, we receive your name, your email address and confirmation that the account belongs to the CEGIS domain. We do not receive your password, and we ask Google for nothing else.
As you use the portal, it also records:
- when you sign in, and the browser you signed in from;
- which tools you open, and when;
- the country and state you signed in from — so we can tell which states the tools are reaching.
About that location
It is worked out from your internet address, on our own server, against a database file we host ourselves. Your internet address is not sent to anyone else, and we do not store it. What we keep is the country and the state — “India, Karnataka” — and nothing more precise. We do not record your town, and we do not track your location over time.
What we do not collect
There is no password, so there is none to lose. There are no advertising or analytics trackers on this site, and no third party is told that you visited it — including whoever supplies the location database, because that file sits on our server and answers our questions offline.
This portal does not read what you do inside a tool. Documents, queries and results belong to the tool you are using and are governed by that tool’s own terms, which its page links to. Some tools encrypt your content in your browser so that even they cannot read it.
Why we collect it
To let you sign in, and to know which departments the tools are reaching. CEGIS funds this work on the basis that it is used; usage figures are how that is demonstrated. Reporting is aggregate — how many people from how many organisations opened which tool — and does not name individuals.
Who can see it
CEGIS staff administering the platform. We do not sell it, and we do not share it with third parties except where the law requires it.
When you sign in to a tool, we tell that tool your name, your email address and your organisation — so it knows who is using it without asking you to sign in a second time. We do not tell it your location, and we tell it nothing at all about any other tool you use. Each tool then keeps its own record of what you do inside it, under its own terms.
How long we keep it
Your account for as long as it exists. Sign-in sessions expire after 30 days. Records of which tools were opened are kept as aggregate usage history.
Your choices
You can stop the update emails at any time — every one has an unsubscribe link, and the setting is in your account. You can ask us to correct your details, or to delete your account and everything attached to it, by writing to privacy@cegis.org. Deleting your portal account does not by itself delete anything held inside an individual tool; tell us if you want that too and we will say what each tool needs.
Cookies
One cookie on this site, holding your sign-in session. It is not readable by scripts, it is not used to track you, and signing out removes it. There are no other cookies here and therefore no cookie banner.
That cookie is deliberately not shared with the tools: it is sent to this site and nowhere else. Each tool sets its own separate session cookie on its own address, which means signing out here ends your session here — a tool you already have open may stay open until its own session expires.
Changes
If this policy changes materially, the version above changes and you will be asked to accept the new one the next time you sign in.
